Academic Progress

GPA

You must maintain a minimum grade point average (GPA) for courses completed at Cal Poly Pomona to remain eligible for financial aid. Only the GPA for courses completed at Cal Poly Pomona is considered.

  • If you are an undergraduate student with less than 36 completed units, your GPA must be 1.80 or higher.
  • If you are an undergraduate student with 36 or more completed units, your GPA must be 2.00 or higher.
  • If you are a credential student, your GPA must be 2.00 or higher.
  • If you are a graduate student, your GPA must be 3.00 or higher.

To find your current GPA go to BroncoDirect and use the "unofficial transcript" form. This link opens BroncoDirect in a separate window, so you can still refer to these instructions.

From Learner Services, select View My Transcript. From the resulting drop-down, choose the only option, Cal Poly Pomona Unofficial, and select Go.

Scroll to the bottom of your unofficial transcript. You will see something like this:

CUMULATIVE TOTALS                              UA     UE     GP   GPA

CAL POLY POMONA	                              178.0  178.0  578.4  3.24

OVERALL                                               178.0  178.0  578.4  3.24

Your Cal Poly Pomona cumulative GPA is located on the second line down titled "Cal Poly Pomona" and under the GPA column.

Units

You must complete a minimum number of units each academic year to remain eligible for financial aid. The minimum number of units you need to complete each year is indicated in the chart below. These minimums assume you will attend three quarters during the academic year.

For financial aid purposes, the following courses are not counted as units completed in the annual requirement given in the chart above.

  • Courses with a final grade of F-Failed, I-Incomplete, A-Audit, NC-No Credit, and WU-Withdrawal Unauthorized.
  • Courses repeated with a passing grade of D- or better for the original course.

Although these units do not count for your yearly minimum unit requirement, they do count as units attempted for the unit cap requirement

Unit Cap

You are eligible for financial aid up to a maximum number of units. This maximum is called "unit cap" and is based on the number of units attempted. All units attempted at Cal Poly Pomona and other colleges are counted whether or not financial aid was received during the period in which the units were attempted.

  • If you are an undergraduate, you qualify for financial aid until you have reached a maximum of 280 units attempted.
  • If you are an undergraduate in an architecture program, you qualify for financial aid until you have reached a maximum of 375 units attempted.
  • If you are a credential student, you qualify for financial aid until you have reached a maximum of 90 units attempted.
  • If you are a graduate, you qualify for financial aid until you have reached a maximum of 90 units attempted.
  • If you are a graduate in an architecture program, you qualify for financial aid until you have reached a maximum of 240 units attempted.
  • Second BA/BS, and MA students who have reached the unit cap will be eligible for one year only.

If you have met or exceeded the unit cap, your financial aid eligibility will be suspended the following academic year.

Remedial

A total of 36 remedial units will be allowed for financial aid purposes. These units will be counted toward the attempted and completed unit maximums, but will not be used for GPA calculation. (Remedial courses are all courses below the 100 level.)

Cross Enrollment

If you plan to enroll concurrently at Cal Poly Pomona and another school, the units completed at the other school may be counted towards the annual unit requirement and for quarterly financial aid eligibility. To qualify for cross enrollment, you:

1) Must be a regularly admitted Cal Poly Pomona student.

2) Must be enrolled in six (6) units or more at Cal Poly Pomona, to be eligible for all funds.

3) Educational Opportunity Program (EOP) students must obtain approval from the Cal Poly Pomona EOP Office to be enrolled at Cal Poly Pomona with less than 12 units (please see an EOP Advisor for assistance) This approval must be obtained before submitting form to the Office of Financial Aid.

5) Units at other school must be transferable to Cal Poly Pomona degree.

You may obtain a "Cross Enrollment/Consortium Agreement" form at the Office of Financial Aid, CLA Bldg. 98, T-3

Suspension

1. If you do not meet the financial aid satisfactory academic progress GPA and/or unit requirements, your financial aid eligibility will be suspended the following year.

Note: Summer quarter can be used as a "make-up" quarter, as long as you are not receiving financial aid for that quarter.

2. Notification of academic progress is sent out twice a year to students not meeting the satisfactory academic progress standards. Mid-year warnings are sent out in March to all students. You will receive a second notice if you do not meet academic progress standards after spring quarter grades are posted. This second notice is the official annual review.

Appeal Process

If your financial aid eligibility has been suspended due to low GPA, deficit units and/or unit cap, you may appeal the suspension.

Appeal forms are available at the Office of Financial Aid Counter. Your appeal will be reviewed and you will be notified of the decision by mail within two weeks.

Reinstatement

Reinstatement of financial aid eligibility must be requested from the Office of Financial Aid; it does not happen automatically. You must notify the Office of Financial Aid in writing that you have cleared your status. Complete an Information Update form available from the Office of Financial aid.

To obtain reinstatement of financial aid you must clear your GPA and/or unit deficiency.

  • Grade point Average: Because your GPA requirement refers to units completed at Cal Poly Pomona, the additional units needed to bring your GPA back up to the minimum must be completed at Cal Poly Pomona.
  • Units: Students may attend Cal Poly Pomona, or any other college to make up units. If the units are earned at another college, a copy of the grade report must be submitted to the Office of Financial Aid to verify completion of the units.

Reinstatement will become effective the quarter after your academic progress is cleared. (Example: If you are four units deficit at the end of spring quarter, and complete four units fall quarter, your eligibility will be reinstated for winter quarter.)

If your financial aid eligibility has been suspended due to low GPA, deficit units and/or unit cap, you may appeal the suspension if you believe you have extenuating circumstances. Appeal forms are available at the Office of Financial Aid. Your appeal will be reviewed and you will be notified of the decision by mail within two weeks.
