Evening Service - Change in Location

Evening service for the Office of Financial Aid will be located in the Admissions Office, second floor, CLA building. The hours will remain the same; 5:00 - 6:00 Monday through Thursday. There is no evening service during quarter breaks.

Pell Disbursement Grant, ACG and SMART Grant

Effective July 1, 2008, the Department of Education released a new requirement for the SMART Grant program.  The guidance indicated that a student must be enrolled in at least one core class in an eligible SMART Grant major in order to receive payment each quarter.

For these grant programs funds will only be disbursed to students who are enrolled on a full time basis after the pre-registration period.  The disbursement process will take place on a weekly basis in order to capture those students who add units to full time.

After
the add/drop period has ended, students who are enrolled less than full time will receive their disbursement of Pell Grant funds based on final enrollment.  The process will allow for a decrease in the billing process for students who receive Pell Grant funds in excess of the allowable amount.  This process will continue on a quarterly basis. For students enrolled less than fulltime, there will be no ACG or SMART grant disbursements.

Loans

Accepting Loans On Bronco Direct
Once a student’s loan has been accepted in
BroncoDirect and transmitted electronically no changes will be made to the student’s loan. 

Canceling Loan Funds Before Disbursement
Students who would like to cancel their loan for the quarter before it disburses must notify the Office of Financial Aid three weeks before the start of the Quarter.

 *Please note if you cancel your first loan disbursement your entire loan will be cancelled for the entire academic year. *

Loan Changes During the Year
Grade level loan increases and mid-year program changes will no longer be processed.

*Students will be awarded Federal Stafford Loans for the entire academic year based on their current enrollment during the Fall Quarter. *   

Returning Loan Funds
Students will only have fourteen days from the date of disbursement to cancel their loan for the quarter. After the fourteen days it will be the student’s responsibility to return their loan funds to Sallie Mae.

Student Accounting & Cashiering Services will not accept returned checks after the fourteen days have expired. There will be no exceptions to this new guideline. 

General Reminder
Please remember in order to be eligible and receive Federal Stafford Loan funds you MUST be enrolled in the following number of units: 

Undergraduate-6 units or more each quarter
Graduate-4 units or more each quarter
TEP-6 units or more each quarter

Refund and Repayment Policy

Effective immediately:

If you cancel registration or drop all of your classes prior to the first day of instruction you will receive a full refund, and all financial aid will be cancelled.

If you drop or withdraw from all of your classes on the first day through the sixth week of instruction, you may qualify for a refund, or be required to repay all or a portion of your financial aid received, depending on your drop date.

Repayments will be credited to financial aid funds. 

If you complete a quarter with all "WU" grades, you will be considered an unofficial withdrawal (walk away).  Refund or repayment will be based on a 50% or mid-quarter drop date. Refunds and repayment will be calculated using that date.

What is FERPA

The Family Educational Rights and Privacy Act of 1974, sets forth requirements regarding the privacy of student records. FERPA governs the limited release of these records (known as education records) maintained by an educational institution and access to these records. For more information on FERPA regulations please visit the Federal Department of Education website. To obtain a consent form, to allow "others" (such as parents) access to your educational records, please stop by the Financial Aid Service Counter, located in Bldg. 98, Tower, Third Floor.
